Accounts Assistant (YWCA HQ and Various Branches)
The Accounts Assistant will support the Finance and Administration Department in maintaining accurate financial records and ensuring that financial transactions are properly documented, processed, recorded, and reported in accordance with YWCA Tanzania’s financial policies, accounting standards, donor requirements, and applicable laws and regulations. The position will provide day-to-day accounting support, including processing payments, maintaining financial records, reconciling accounts, monitoring advances and petty cash, supporting budget monitoring, and assisting with financial reporting and audits.
Key Responsibilities
- Record and post financial transactions accurately and on a timely basis.
- Prepare and process payment vouchers, receipts, and other accounting documents.
- Maintain proper filing and custody of financial documents and supporting documentation.
- Verify that transactions have appropriate approvals and adequate supporting documentation.
- Assist with daily cashbook and accounting entries.
- Follow up outstanding payments and receivables as directed by the Finance Personnel.
- Ensure payments are supported by approved documentation and comply with organizational procedures.
- Assist in monitoring expenditures against approved budgets.
- Flag unusual or unsupported expenditures to the supervisor.
- Ensure financial transactions comply with YWCA Tanzania policies and procedures.
- Maintain confidentiality of financial and organizational information.
- Assist in preparing documents and schedules required for external audits.
- Ensure accounting records are complete, accurate, and readily available for review.
- Maintain electronic and physical finance records.
- Assist with updating databases for tenants, financial, and accounting schedules.
- Support with general administrative and accounting duties as assigned.
Qualifications
- Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field from a recognized institution.
- At least one year of relevant experience in accounting, bookkeeping, or finance. Experience in an NGO setting is an added advantage.
- Knowledge of accounting principles, financial procedures, and internal controls.
- Experience with accounting software is an advantage.
- Good knowledge of Microsoft Office, particularly Excel.
- Knowledge of Tanzania statutory financial and tax requirements is an advantage.
- Strong attention to detail and accuracy.
- Integrity, honesty, and high ethical standards.
- Good organizational and record-keeping skills and ability to maintain confidentiality.
- Ability to work independently and as part of a team with proactive, reliable, and results-oriented qualities.
