The organization operates from Kivulini Maternity Centre near Arusha in Northern Tanzania.
About the Role
The Human Resources Assistant provides general support to employees, ensuring smooth day-to-day HR operations and administrative tasks. This role focuses on improving continuity, efficiency, and effectiveness of HR processes and responsibilities.
Role Responsibilities:
- Perform day-to-day operational and administrative tasks in Human Resources.
- Supervise work/activities in the departments under Human Resources.
- Conduct reference checks on new employees and volunteers.
- Prepare employment contracts upon appointment of staff, ensuring an effective contract planning mechanism.
- Ensure all staff conduct exit interviews and follow up on final dues payment.
- Assist in conducting employee surveys regarding various aspects of employment and job satisfaction.
- Track resources allocated to employees, such as keys and uniforms.
- Ensure timely orientation plans for new staff and document retention.
- Obtain correct work permits and visas for foreign employees/volunteers and keep them updated.
- Maintain an efficient filing system for Personnel, Recruitment files, etc.
- Monitor staff leave status and update the leave database regularly.
- Inform line managers about contract renewals/expiries in a timely manner.
- Maintain confidentiality of all staff records and ensure secure storage.
- Liaise with IT for technical support regarding the HR database.
- Pull reports on employee attendance and review trends.
- Review monthly rosters to ensure compliance with work/employment guidelines.
- Collaborate with the HR Manager to enhance HR processes, strategies, and ideas.
Qualifications and Skills Required:
- Diploma in Human Resources Management or Public Administration.
- Excellent communication and interpersonal relationship skills.
- Proactive and commendable organizational skills.
- Knowledge of Tanzanian employment laws and guidelines.
- Eager and willing to learn.
