The organized movement of persons in need of international migration assistance is a primary mandate and a cornerstone of IOM's operations. Movement Operations Units in various IOM Country Offices, coordinated under the Resettlement and Movement Management (RMM) Division at IOM's Geneva Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM's auspices, in accordance with framework agreements with resettlement and receiving Governments and partners across the Organization's programmes.Human Resource Assistant ResponsibilitiesUnder the general supervision of the Resource Management Officer and the direct supervision of the Senior Human Resource Associate, the Human Resource Assistant is responsible for the following duties:Support recruitment processes by coordinating the publication of Vacancy Notices/Special Vacancy Notices, receiving and sorting applications, arranging interviews and tests, preparing documentation, sending communications to candidates, contacting previous employers for reference checks, and other related activities.Carry out pre-employment activities, including preparation of Entry on Duty (EOD) documentation, collection of supporting documentation, coordination of EOD medical exams, follow-up with Medical Services for clearances, coordination of orientation sessions, arrangement for security briefings and medical examinations, inclusion in insurance plans, creation of personal files, etc.Perform assigned roles in the organizational HR system, ensuring data consistency and accuracy, inputting and maintaining data based on approvals and supporting documentation, and monitoring contractual situations and entitlements to generate reports.Perform the role of Timekeeper, maintaining, updating, and reconciling leave quotas, generating and editing leave-related reports, responding to general questions concerning leave administration, and guiding staff on request and approval procedures.Support separation, classification, reclassification, and promotion processes by collecting necessary documentation, drafting forms, making basic calculations, obtaining approvals, and coordinating with relevant units.Update and maintain electronic and physical archiving systems, including personnel files, recruitment files, HR policies, regulations, guidelines, manuals, and internal controls.Draft certificates of employment, notices, letters, reports, presentations, and graphs; update the organizational chart and support timely document submission.Support the organization of meetings, training activities, and other Human Resources events by carrying out logistical activities such as arranging facilities, equipment, materials, preparing correspondence, and assembling documents.Respond to general inquiries regarding Human Resources policies, instructions, and procedures.Perform other related duties as assigned.QualificationsRequired Qualifications and ExperienceEducation: High School diploma with four years of relevant experience; OR a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field with two years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database.Experience: Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, E-mail, Outlook). Previous experience in SAP is a distinct advantage. Attention to detail, ability to organize paperwork methodically, discretion, client-orientation, patience, and willingness to learn are essential. Prior work experience with international humanitarian organizations, non-government or government institutions/organizations in a multi-cultural setting is an advantage.SkillsStrong interpersonal skills.Strong communication skills.LanguagesAll IOM staff members are required to be fluent in one of IOM's official languages (English, French, Spanish).
