Job Purpose

Executive Assistant is all about managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas and compiling documents for meetings

 

Duties and Responsibilities,

  1. Maintain BOT and other government agency files complete, tidy, safe, and up-to-date.
  2. Archiving of management team documents
  3. Ensure that the management team office is well arranged
  4. Assist in setting up meetings and appointments, communicate with external guests, etc.
  5. Independent organization of logistical support for external guests (flight schedule control, local transportation, accommodation)
  6. Support in travel organization (booking of flights, hotel accommodation) and control of / receipt collection for respective cost.
  7. Manage the logistics for the board of director meetings, including coordination of technical support for conference calls. Management of director fees and allowances. 
  8. Flight booking for all staffs
  9. Board room Management (keeping & maintenance of board room reservation schedule
  10. Support the Executive Manager and Company Secretary & Compliance Officer in corporate matters as per request

Selection Criteria:

  • Proven ability to use standard office software: MS-word, Excel, PowerPoint, Outlook)
  • Diploma/Degree in Business Administration /Procurements/finance/Commerce/any related field
  • At least one year experience in the front office (secretarial duties)
  • Experience in dealing with top management team members  Ability to recognize and implement tasks independently. 
  • Ability to prioritize and distinguish important issues from non-important ones.
  • Excellent communication skills, both with Tanzanian colleagues as well as with international staff and guests of the bank.
  • Excellent oral and written command of English and Swahili.
