INDUSTRY: OIL AND GAS
LOCATION: Arusha, Tanzania
HR World Ltd, on behalf of our client, we are seeking a highly organized and resourceful Executive Assistant who will provide executive-level support to senior management. The Executive Assistant will be responsible for managing schedules, coordinating meetings, handling communications, and ensuring smooth day-to-day operations of the executive office while maintaining confidentiality and professionalism at all times.
Responsibilities:
- Manage executive calendars, schedule appointments, and organize meetings, conferences, and travel arrangements.
 - Prepare, review, and manage correspondence, reports, presentations, and other confidential documents.
 - Act as the first point of contact for internal and external stakeholders on behalf of the executive.
 - Coordinate and follow up on projects, ensuring deadlines are met and deliverables achieved.
 - Organize and maintain filing systems (both electronic and hard copy) to ensure easy retrieval of information.
 - Handle incoming calls, emails, and requests, ensuring effective communication flow within the executive office.
 - Provide logistical and administrative support for events, board meetings, and workshops.
 - Track expenses, process invoices, and support budget monitoring for the executive office.
 - Maintain discretion and confidentiality in handling sensitive company information.
 - Support in drafting policies, proposals, and communications as required by senior management.
 
Qualifications:
- Bachelor’s Degree in Business Administration, Management, or related field.
 - Minimum 3-5 years of experience in executive support or a similar role.
 - Excellent organizational and time management skills with the ability to multitask effectively.
 - Strong written and verbal communication skills.
 - Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of digital collaboration tools is an added advantage.
 - High level of professionalism, discretion, and confidentiality.
 - Strong problem-solving skills and ability to work under pressure.
