About the Programme

In 2022, the Mastercard Foundation in partnership with BRAC International (BI) will be announcing an initiative that will create a positive and measurable impact for 1.2 million adolescent girls and young women and 9.5 million people across seven countries in East and West Africa, including Ghana, Kenya, Liberia, Rwanda, Sierra Leone, Tanzania, and Uganda.

 

There is mounting urgency to support adolescent girls and young women (AGYW) living in poverty, which has been further amplified by the global pandemic. Through this partnership, scalable economic development approaches will be delivered in communities to foster the agency and voice of AGYW. They will have the opportunity to fulfill their aspirations, achieve sustainable livelihoods, and engage in advocacy issues.

 

BRAC International will implement an integrated and holistic model to address the various life cycles of a young woman living in poverty, ensuring she is able to transition safely from adolescence to adulthood. She will be equipped with the appropriate skills, tools, and access to finance to effectively exercise her agency and build a fulfilling and productive livelihood.

 

BRAC International is seeking applications from competent, dynamic and self-motivated individuals to fill the following position in BRAC Maendeleo Tanzania

 

  1. Office Assistant (AD# MCFBMT-2220)

This position is responsible to support AIM project operations, administration and HR work. The desired personnel will have ability to comprehend and process instructions, and able to communicate in a clear and concise manner.

RESPONSIBILITIES 

  • Managing project filing at the Country Head Office and regional office, and ensures all soft and hardcopy documents are clean, up to date and organized. This will include updating all the paperwork and document maintenance
  • Handle communication flows between Country Head Office and regional offices. Responsible to convey information to regional office on potential visitors and ensuring visits schedules are secured and communicated on time
  • Perform project secretarial work including, but not limited to, printing, typing, photocopying, proofreading, scanning and delivering documents.
  • Attend project related internal and external meetings to actively take notes and ensuring all follow ups agreed during the meetings are executed on time. This will include reminding project team on agreed action points that require attention
  • Actively following/exploring news, networking events, new trends, social media platforms and government policies related to project thematic areas and update project lead if there is a particular area of interest to engage
  • Regularly check in with field teams to gather and document operational, admin and HR related challenges/concerns and proactively channel those to relevant project team members, keeping programme manager always in the loop
  • Support HR processes and procedures including, but not limited to, shortlisting, communication to candidates, preparation and filing of documents etc
  • Handle project related office visitors and/or respond to basic questions related to project when required. Part of this will involve escorting project visitors to field/sites
  • Assist to organize events, meetings or trainings by ensuring all appointments are confirmed and communicated, all participants receive instructions and documentations on time, all logistics and venues are confirmed and any follow ups are documented

 

Safeguarding Responsibilities:

  • Read, understand, practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
  • Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

 

EDUCATIONAL REQUIREMENTS

Holder of a diploma or bachelor degree in HRM, Procurement & Logistics, social sciences, Administration or related field from a recognized University/Institution. Secretarial service and hospitality skills are an added advantage.

EXPERIENCE REQUIREMENTS

  • At least 1-year experience as an office/project assistant in an NGO sector
  • Strong communication skills
  • Computer literate
  • Experience with document and database management
  • Experience or genuine desire working in development sector particularly with projects that support girls and women
  • Ability to process and act on instructions quickly and act to get results fast
  • Ability to simplify complex information to a layperson understanding

 

EMPLOYMENT TYPE: CONTRACTUAL
