DVV International is seeking a dedicated and organized Administrative Assistant to join their team on a part-time basis (75%). This role is crucial for supporting the day-to-day administrative and logistical operations of the organization.

Job Summary
The Administrative Assistant, under the supervision of the Regional Finance Manager and management of the Regional Director East/ Horn of Africa DVV International, will be contributing to the day-to-day admin and logistical tasks of the Country Project Accountant. This includes supporting financial documentation and requests, scanning and filing of vouchers, storekeeping management, procurement of items, venues and consultants, as well as project planning and activities.

Responsibilities

Administrative Tasks

Support the function office for admin-related matters.
Maintain store records cards.
Ensure security of items in the store and maintain an up-to-date inventory list.
Ensure items in the office are labelled accordingly.
Attend to office visitors and respond to calls on the office telephone.
Prepare correspondences, such as invitation letters.
Check usage and management of office kitchen and sanitation items.
Contribute to a well-organized filing system.
Keep a record of incoming and outgoing mail.
Contribute to keeping the Permanent File up to date according to Marili.
Support in the procurement process of items, venues, and equipment in line with Tanzanian national procurement regulations.


Finance

Support financial clearance of partners and staff.
Assist in the preparation and documentation of payments.
Support the preparation of budgets for project activities.
Contribute to the budget planning of project activities.
Scan and file vouchers.
Support maintaining financial files and archives in line with the organization's Management Guidelines.
Assist in the preparation and implementation of audits.
Assist the Country Project Accountant and Regional Finance Manager where necessary.


Project

Support the planning and preparation of workshops, trainings, and conferences.
Assist in the documentation of project activities.
Establish and manage the digital project filing system.


Education and Qualifications

Advance diploma / University degree (Bachelor) in Business Administration/Accountancy from a reputable university.


Requirements

At least 4 years of experience working in a similar position with INGOs in a development-related field.
Experience with administrative, accounting, and reporting procedures of INGOs.
Experience in office procedures and regulations.
Excellent computer literacy, strong working knowledge of Microsoft Office.
Good knowledge of computerized accounting software.
Profound knowledge and understanding of Tanzanian bureaucratic, tax, and admin-related structures and regulations.
Fluent in Kiswahili and English.
