Executive Assistant

LOCATION: Arusha, Tanzania
HR World Ltd, on behalf of our client, we are seeking a highly organized and resourceful Executive Assistant who will provide executive-level support to senior management. The Executive Assistant will be responsible for managing schedules, coordinating meetings, handling communications, and ensuring smooth day-to-day operations of the executive office while maintaining confidentiality and professionalism at all times.
Responsibilities:
Manage executive calendars, schedule appointments, and organize meetings, conferences, and travel arrangements.
Prepare, review, and manage correspondence, reports, presentations, and other confidential documents.
Act as the first point of contact for internal and external stakeholders on behalf of the executive.
Coordinate and follow up on projects, ensuring deadlines are met and deliverables achieved.
Organize and maintain filing systems (both electronic and hard copy) to ensure easy retrieval of information.
Handle incoming calls, emails, and requests, ensuring effective communication flow within the executive office.
Provide logistical and administrative support for events, board meetings, and workshops.
Track expenses, process invoices, and support budget monitoring for the executive office.
Maintain discretion and confidentiality in handling sensitive company information.
Support in drafting policies, proposals, and communications as required by senior management.
Qualifications:
Bachelor’s Degree in Business Administration, Management, or related field.
Minimum 3-5 years of experience in executive support or a similar role.
Excellent organizational and time management skills with the ability to multitask effectively.
Strong written and verbal communication skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of digital collaboration tools is an added advantage.
High level of professionalism, discretion, and confidentiality.
Strong problem-solving skills and ability to work under pressure.
