Executive Assistant to the National General Secretary

YWCA Tanzania is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to the National General Secretary (NGS)/Executive Director (ED). This role is crucial for ensuring effective leadership, communication, and coordination within YWCA Tanzania and with external stakeholders.
Key Responsibilities
Manage the NGS’s/ED’s calendar, appointments, and deadlines.
Handle internal and external correspondence, including screening and drafting communications.
Review documents, contracts, and reports for accuracy and compliance.
Organize meetings, prepare agendas, take minutes, and manage logistics for management, committees, and stakeholders.
Maintain organized office files (physical and digital) and support policy compliance.
Assist in developing communication materials and translating documents.
Support project proposal review and development, budgeting, and donor requirements.
Provide advice and support to staff, fostering team collaboration.
Perform general office duties and work beyond regular hours as needed.
Ensure all YWCA’s activities align with YWCA Tanzania’s constitution and policies, and contribute to organizational planning and reporting.
Qualifications
Degree in Social or Natural Sciences, Law, Education, or a related field (preferred).
Three plus years of experience in executive support or administration.
Fluent in English and Kiswahili with strong writing skills.
Understanding of development issues, and work related to women, youth, children, and governance.
Highly organized, proactive, reliable, and detail-oriented.
