MAIN PURPOSES
Supporting the Pharmacy Department by ensuring smooth daily operations and continuity of services, compliance with MSF health policies and protocols and timely completion of activities assigned under the supervision of the Pharmacy Coordinator and Pharmacy Manager.

ACCOUNTABILITIES

In cooperation with the Pharmacy coordinator and Project Pharmacy Manager, assisting in the review of the projects monthly sitrep report, analyze and give feedback to the project team.
In cooperation with the Project Pharmacy Manager, assist in order follow-up and communicate backorder (BO) status to the team for domestic, International and local purchase orders as well support supply team to facilitate delivery of domestic orders.
In cooperation with the medical team and other MSF team members, assist in the supervision, management, follow up and control of medical/supply stock in the MSF office, expat houses, and MSF cars. This includes physical count, ordering, replenishment and monitoring of expired dates.
Cooperating with and assisting the Pharmacy Manager in all related monthly reports, and under the Pharmacy Manager’s supervision, communicating and providing medical data to relevant MSF team members.
Assisting in preparing and organizing training sessions for MSF staff.
Filling in the gap for the Project Pharmacy Manager when out of duty.


Context Specific Accountabilities

Prepare monthly Pharmacy Situation Report (SitRep) analysis feedback and wayfoward for the projects, ensuring data accuracy, review and highlight the more critical points with PharmaCo review before sending to the projects.
With the supply team collaboration, generate regular trend of Coordination stock analysis reports (including consumption patterns, expiry risks, and overstock situations) to support informed decision-making.
In collaboration with the supply team to ensure incountry shipment follow-up information is shared to all respective team members.
Support the Project Pharmacy Manager in pre-clearance applications, update cargo follow-up and follow with customs officer the process.
Support the follow-up of backorders with the warehouse team, with guidance and supervision from the PharmaCo.
Ensure that the list of expired drugs is accurate and updated, participate in the full drug destruction process, from documentation and application to physical disposal, in accordance with MSF and relevant regulatory authorities protocols.
Prepare and update first aid kits and emergency kits in accordance with the scheduled chronogram.
Monitor and track the consumption of stock from the staff health stock to ensure timely replenishment and avoid shortages with the Medco support.
Share stock level information with the projects, update and communicate whenever new items have been received in coordination stock, request from Projects and before domestic order preparation.
Archiving all the certificates, donations, Isystock backups and other Pharma related documents correctly including updating the LP validated TZ file.
Analyze and propose actions for the pre-expiries (send to the field, donation, rotation between projects…) to the PharmaCo. He is the final responsible for the proposal with all donations validated by the MedCo.
Participate in Physical inventory at the Coordination Warehouse.
Perform any other duties as assigned by the Supervisors to support the effective functioning of the pharmacy department.


Minimum Educational Qualification:

University or technical school diploma in pharmaceutical studies
Registered Pharmacist Technician


Experience:

Experience collaborating with local pharmacy systems (MoH and private) is an asset
Demonstrable experience in supervising and training others in a team setting


Knowledge:

Excellent written and verbal communication skills
Good computer skills: MS Word, MS Excel


Languages:

Mission language essential; local working language would be an asset
