Project Administrator
The East, Central, and Southern Africa Health Community (ECSA-HC) invites applications from suitably qualified persons who are nationals and/or residents of the United Republic of Tanzania for the post of Project Administrator. The position is tenable at the ECSA Health Community secretariat based in Arusha, Tanzania. The incumbent will report to the Project Coordinator.
1.0 Background of the Organization
The East, Central, and Southern African Health Community (ECSA-HC) is a regional organization set up in 1974 to promote the highest possible standards of health among member states. It is mandated to foster cooperation that will lead to the strengthening of health care programmes among member states in the region. The Secretariat implements its activities through four specific programme clusters, namely:
Family Health and Infectious Diseases;
Non-Communicable Diseases, Food Security and Nutrition;
Health Systems and Capacity Building; and
Knowledge Management, Monitoring and Evaluation.
2.0 Broad Purpose of the Post
The Project Administrator will be responsible for providing administrative support to the project, including but not limited to preparing invitation letters, following up on the meeting participants, assisting with ticketing assignments, and overall supporting the project coordinator administratively. In addition, the Project Administrator will be responsible for advocacy and communications-related support in the efficient and effective execution of project activities. The officer will develop communication tools and provide necessary information to all stakeholders, as well as advocating and promoting the work of ECSA-HC in project countries, the entire region, and beyond. S/he will also work closely with the project team and the Communications and Advocacy Specialist in executing their tasks.
3.0 Specific Responsibilities
a) Administrative Support
Organizing and providing logistical support in meetings, workshops, and conferences.
Following up on the progress of action items and other tasks, and reporting to the Project Coordinator
Responding to routine correspondence.
Facilitating the convening of internal and external meetings and keeping a record of all meetings
Preparing letters, reports, and minutes.
Filing and processing outgoing mail.
Organizing and scheduling appointments
Maintain a robust document filing system
b) Communication and Advocacy
Monitor social and local media regularly on what is being reported on key issues related to ECSA-HC
Provide translation for promotional and visibility materials as necessary
Produce quality media engagement materials, including media packs, press releases, and information sheets
In close collaboration with Communications and Advocacy Specialist, contribute to development and implementation of the communications and advocacy strategy
Support program teams in the development of communications materials (including program brochures, briefs, videos and other promotional products)
Support the dissemination of information and materials both internally and externally
Maintain documentation, photographic, and video libraries
Work jointly with the Communications and Advocacy Specialist on the organization and implementation of Advocacy initiatives
Perform any other related functions and duties as may be assigned by the supervisor.
4.0 Education Qualifications and Professional Experience
An undergraduate degree, preferably in business administration, project management, or media/communication
5 years of work experience in office management, project administration, communications, or media fields
Excellent English communication skills, both written and verbal
Experience in social media engagement
Clear understanding of the key components in brand management
Good personal organisational skills, including time management, and the ability to meet deadlines and work under pressure

8.0 Contract Appointment
This is a three-year contract appointment renewable on the basis of performance and by mutual consent on the part of the employer and the employee.
