About the Role

We are seeking a highly organized and detail-oriented Transport Operations Officer to support daily truck transport operations. The successful candidate will be responsible for tracking trucks, managing petty cash, coordinating with drivers, preparing operational reports, and ensuring smooth day-to-day transport activities.

Duties and Responsibilities

1. Operations & Tracking

Track daily movement of trucks and ensure timely delivery of consignments
Maintain accurate trip records, fuel usage, mileage, and delivery reports
Follow up with drivers on trip status, delays, breakdowns, and route compliance
Coordinate loading and offloading schedules


2. Driver Coordination

Communicate daily with drivers regarding assignments and instructions
Ensure drivers comply with company policies and operational procedures
Collect trip sheets, delivery notes, and supporting documents from drivers


3. Petty Cash & Records

Manage and track petty cash issued to drivers (fuel, meals, repairs, allowances)
Reconcile petty cash expenses and prepare supporting documentation
Report discrepancies or irregular expenses promptly


4. Administration & Reporting

Prepare daily, weekly, and monthly operational reports using Microsoft Excel
Maintain organized digital and physical filing systems
Prepare presentations and summaries using Microsoft PowerPoint when required
Draft emails, reports, and internal communications using Microsoft Word


Required Qualifications

Education: Diploma / Degree in Business Administration, Communication, Mathematics, Logistics, or related field
Language Skills: Fluent in Swahili (spoken and written) & Good command of English (spoken and written)


Skills & Competencies

Strong computer literacy
Proficient in Microsoft Word, Excel, and PowerPoint
High attention to detail and accuracy
Strong communication and follow-up skills
Ability to work under pressure and meet deadlines
Good record-keeping and reporting skills
Basic understanding of transport or logistics operations (added advantage)

Proactive and able to work independently
Good interpersonal skills when dealing with drivers and management
