Now Recruiting: Human Resources and Rewards Coordinator (1 Position)

Job Summary:
The Human Resources and Rewards Coordinator is the primary contact for compensation and benefits within the Human Resources Department. This role is crucial for the effective delivery of People and Culture services by managing rewards frameworks, coordinating the performance management process, administering employee benefits, overseeing the Human Resources Information System (ARUTI), and supporting core HR functions such as recruitment, employee relations, and training and development.
Reporting to the Human Resources Lead, this position also supports the Director of People and Culture in ensuring compliance with MSI Tanzania policies, local labor legislation, and donor requirements, while fostering equity, consistency, and employee engagement throughout the organization.
Key Responsibilities:
1. Performance Management
Advise and support staff in performance management to enhance motivation, development, and results.
Coordinate the implementation and administration of MSI Tanzania's performance management framework.
Provide guidance to managers and employees on performance management tools, processes, timelines, and documentation.
Support annual and cyclical performance review processes, including goal setting, mid-year reviews, and year-end appraisals.
Monitor compliance with performance management timelines and follow up with departments to ensure completion.
Collaborate with the Human Resources Lead to link performance outcomes to rewards processes such as salary reviews, recognition, promotions, and learning & development planning.
Prepare performance management reports and analytics to support management decision-making.
Support the continuous improvement of the performance management system based on feedback, data trends, and organizational needs.
2. Compensation & Benefits
Coordinate the administration of salary structures, pay scales, allowances, and employee benefits in line with MSI Tanzania policies, labor laws, and market benchmarks.
Ensure timely participation in salary and benefits surveys, analyze data, and share findings to inform recommendations on salary grades and pay scales.
Advise and support the Human Resources Lead and Director of People & Culture during annual salary reviews, reward cycles, and periodic benefits reviews.
Ensure accurate and timely implementation of approved salary adjustments, promotions, and other compensation changes.
Administer employee benefits, including medical insurance, pension schemes, statutory and non-statutory leave, and other staff entitlements, in compliance with HR policy and legal requirements.
Ensure timely employee enrollment, updates to benefits records, and effective resolution of benefits-related issues.
Maintain accurate and up-to-date records and reporting on compensation, rewards, and benefits, ensuring data integrity and confidentiality.
Coordinate staff relocation, repatriation, and placement entitlements, ensuring timely processing in compliance with MSI policies, regulations, and applicable labor laws.
3. Selection and Recruitment
Advise the Human Resources Lead and support the Human Resources and Development Coordinator on best recruitment practices and talent management.
Support the Human Resources and Development Coordinator in developing and posting job advertisements both externally and internally, adhering to standardized job frameworks.
Update job frameworks to match business needs based on required competencies and skills.
Arrange interviews in adherence to standard operating procedures as per MSI's recruitment guidelines.
Prepare employment/engagement contracts for new hires and support the Human Resources and Development Coordinator with the onboarding process.
Conduct due diligence for prospective new staff per MSI's standards.
Advise the Human Resources Lead about staff due for confirmation, ensuring timely confirmation, while supporting the Human Resources and Legal Advisor in tracking staff development during the probationary period.
4. Human Resources Information and Records
Ensure timely registration of new hires in ARUTI and other relevant databases, maintaining proper staff records and statistics in both manual and electronic forms.
Maintain an efficient flow of information within the department and across the organization.
Prepare and share relevant monthly reports with the Human Resources Lead to inform timely decisions and actions.
Update master records in ARUTI for staff attrition, new hires, exits, confirmations, leave, and transfers, and any other movements.
Oversee the leave process in ARUTI, issue approved leave, and follow up with line managers on pending leave approvals.
Maintain staff files with all compliant documents for each staff member and remind staff to update their files with important documents like renewed licenses, certificates, and registrations as per clause 16 in the employment contract.
Support staff with all social security issues for both active and inactive employees by updating their contributions and following up on their membership numbers.
Minimum Requirements:
Qualifications and Experience:
Bachelor's degree in Human Resources Management / Business Administration.
Training in relevant Human Resources courses related to core HR functions will be an added advantage.
Minimum of 4 years of hands-on experience in a senior HR role with reputable organizations, especially with multi-cultural environments.
Proven experience in handling staff performance, job analysis, and staff compensation analysis.
Skills:
IT Literate – Proficient in key Microsoft Packages & Applications.
Good verbal communication – ability to convey complex issues clearly.
High standard of written communication – ability to produce well-structured, professional communications.
Analytical – ability to break down complex information to inform key decisions.
