Job Description
Executive Assistant to the National General Secretary
Organization: YWCA Tanzania
Location: Dar es Salaam

YWCA Tanzania is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to the National General Secretary (NGS)/Executive Director (ED). This role is crucial for ensuring effective leadership, communication, and coordination within YWCA Tanzania and with external stakeholders.
Key Responsibilities
- Manage the NGS’s/ED’s calendar, appointments, and deadlines.
- Handle internal and external correspondence, including screening and drafting communications.
- Review documents, contracts, and reports for accuracy and compliance.
- Organize meetings, prepare agendas, take minutes, and manage logistics for management, committees, and stakeholders.
- Maintain organized office files (physical and digital) and support policy compliance. ajira
- Assist in developing communication materials and translating documents.
- Support project proposal review and development, budgeting, and donor requirements.
- Provide advice and support to staff, fostering team collaboration.
- Perform general office duties and work beyond regular hours as needed.
- Ensure all YWCA’s activities align with YWCA Tanzania’s constitution and policies, and contribute to organizational planning and reporting.
Qualifications
- Degree in Social or Natural Sciences, Law, Education, or a related field (preferred).
- Three plus years of experience in executive support or administration.
- Fluent in English and Kiswahili with strong writing skills.
- Understanding of development issues, and work related to women, youth, children, and governance.
- Highly organized, proactive, reliable, and detail-oriented.
