HR World Ltd, on behalf of our reputable client, we are looking for a Procurement Assistant who will be responsible for managing the full procurement cycle from requisition to payment. The ideal candidate will ensure effective sourcing, tendering, contracting, and supplier management processes that align with company policies and compliance standards.

Responsibilities:

  • Review purchase requisitions to verify accuracy, completeness, and technical specifications.
  • Track and report the status of purchase requisitions and purchase orders to ensure timely processing and delivery.
  • Manage the end-to-end Source-to-Pay (S2P) process and provide regular progress updates to stakeholders.
  • Maintain proper documentation, ensuring accurate recordkeeping and submission of daily, weekly, and monthly reports.
  • Execute procurement tasks efficiently, balancing cost, quality, and delivery requirements.
  • Identify inefficiencies and propose improvements to streamline procurement workflows.
  • Conduct procurement activities in compliance with laws, company policies, and professional standards.
  • Advise management on potential legal or contractual implications of procurement decisions.
  • Support user departments in preparing procurement plans and specifications.
  • Prepare Requests for Proposals (RFPs), Tenders, and Requests for Quotations (RFQs) in accordance with approved procedures.
  • Conduct supplier market research to identify reliable and cost-effective sources.
  • Evaluate supplier bids by comparing prices, specifications, delivery schedules, and supplier capabilities.
  • Ensure bid evaluations and awards comply with the company’s Chart of Authority.
  • Participate in contract drafting and negotiations in collaboration with user departments.
  • Monitor supplier performance and recommend corrective actions or contract adjustments as needed.
  • Ensure compliance with company governance, contract terms, and performance.
  • Conduct due diligence and ensure all suppliers have completed documentation and meet qualification standards.
  • Maintain effective supplier communication to resolve delivery issues, shortages, or delays.
  • Build and sustain strong supplier relationships to support long-term business efficiency and reliability.

Qualifications:

  • Bachelor’s Degree in Procurement, Supply Chain Management, or Business-related fields.
  • Certified Supplies and Procurement Professional (CPSP) qualification is required.
  • Minimum of 2 years’ post-qualification experience in procurement or supply chain management.
  • Strong knowledge of procurement processes, contract management, and supplier relationship management.
  • Excellent analytical, negotiation, and problem-solving skills.
  • High level of integrity, confidentiality, and ethical conduct.
