FINCA Microfinance Bank Tanzania Limited is seeking a talented Record Management Intern to join its dynamic team. This role is crucial for maintaining the integrity and accessibility of both physical and digital records.
Job Summary
The Record Management Intern assists in organizing, digitizing, and maintaining physical and digital files within the Human Resources department.
Essential Duties and Responsibilities
- Digitization: Scan paper documents and accurately index them in the HR Shared folder.
- Filing and Organization: Shelve, label, and organize employee files for both active and exited employees according to the bank’s classification system.
- Data Entry and Maintenance: Update information in the HR Shared Folder concerning exit employees’ documents or training records to ensure data integrity.
- File Retrieval: Assist HR in locating and retrieving specific physical or archived records upon request.
- Record Disposition: Help track retention schedules for the safe archiving or disposal of exit staff files and records, ensuring compliance with regulatory requirements and the bank’s policies and procedures. ajira
- Auditing: Conduct staff file audits to identify missing documents, verify file request/transfer logs, and maintain quality control.
Qualifications
Technical Skills:
- Strong computer literacy, particularly in Microsoft Office Suite (Word, Excel).
- Proficiency with document scanners and related software.
Soft Skills:
- High attention to detail.
- Strict adherence to confidentiality.
- Strong organization skills.
Physical Requirements:
- Ability to lift heavy file boxes.
- Ability to stand/walk for extended periods when managing archive facilities.
Education
Diploma in Records Management, Library Science, or a related administrative field.
