About the Role
MSI Tanzania is excited to recruit for the position of **Logistics Officer**. This is a crucial role within our logistics team, focused on ensuring efficient and compliant logistics operations, including warehouse, inventory, and asset management.
Key Responsibilities:
1. Warehouse Operations Management
- Support daily warehouse operations: receiving, inspecting, storing, and issuing goods according to policies and inventory control procedures.
- Maintain appropriate storage conditions to prevent damage, contamination, or deterioration of stock, adhering to safety standards and regulatory guidelines.
- Ensure a well-organized warehouse layout for efficiency, easy retrieval, and accurate stock control.
- Support regular physical stock counts and reconcile discrepancies.
- Identify and report slow-moving, obsolete, damaged, or near-expiry stock for timely corrective actions.
- Support the timely renewal of warehouse/premises registration with TMDA.
2. Receiving and Issuing of Supplies, Equipment and other Materials
- Inspect and verify incoming deliveries against purchase orders and contractual specifications.
- Issue items against approved requisitions and maintain proper documentation.
- Maintain accurate inventory records in the organization’s inventory management system.
- Ensure timely processing and updating of Goods Received Notes (GRNs), Bin cards, and Ledgers.
- Monitor stock levels to prevent stock-outs, overstocking, and unnecessary holding costs.
- Support uploading delivery notes and invoices for received goods and services into the procurement system (TRADOGRAM).
- Support the receiving and distribution of medicines and supplies to Outreach teams/Embedded Nurses, ensuring accurate documentation and timely delivery.
- Verify proof of delivery and supporting documentation from distributors and Outreach teams/Embedded Nurses.
- Reconcile dispatched quantities against delivery confirmations and utilization reports.
- Ensure proper maintenance and filing of all receiving and issuing documents, and upload them to the Logistics Shared Folder.
- Follow up on all Delivery Notes for dispatched social marketing products and share them with relevant managers.
- Maintain proper documentation and audit trails for all receiving, distribution, and reconciliation activities.
3. Health and Security
- Ensure the warehouse operates in a safe, secure, and compliant manner.
- Report any risks, incidents, or security concerns to the Logistics Manager.
- Support investigations related to warehouse issues when required.
- Ensure timely servicing and repair of all warehouse equipment.
4. Property/Assets Management
- Support asset registration, tagging, coding, and recording of all procured assets.
- Update the Asset Management System to accurately reflect asset status, location, projects/donor, custodians, and condition.
- Collaborate with finance to reconcile Asset Management System information with SUN system records.
- Support periodic physical asset verification exercises and report any discrepancies.
- Monitor asset movement, transfers, and allocation across departments and locations, ensuring proper authorization and documentation.
- Provide training and support to asset custodians.
- Maintain asset registers by projects/Donor and submit accurate reports.
5. Disposal (Disposition) of Assets & Expired Stock
- Identify obsolete, expired, damaged, or unserviceable stock and assets.
- Assist in the disposal process, including preparation of detailed documentation and obtaining necessary authorizations.
- Participate in asset disposal committees to ensure transparency and fairness.
- Update inventory and asset registers promptly after disposal.
Minimum Requirements:
Essential Qualifications and Experience:
- At least 3 years of experience in Warehouse/Stores and logistics in a large organization (preferably NGO or commercial sector).
- Demonstrable experience in logistics, warehouse, and stores activities, including stock, warehouse, assets, health, and security operations.
- Demonstrable experience of asset management and familiarity with Asset Management Systems.
- A Degree in Procurement and Logistics / Supply Chain Management or Equivalent.
- Proficient computer skills, particularly in Word, Excel, and stock management software.
Desirable Qualifications and Experience:
- Knowledge of institutional donors in the sector and related compliance regulations (e.g., FCDO, USAID).
- Pharmacological experience: knowledge of drugs and pharmacy management is an advantage.
- Experience or training in transportation management and/or security issues.
- Qualifications in supply chain management or aspects thereof.
- Registered by the Procurement and Supplies Professional & Technician Board (PSPTB).
- Possession of CPSP certification is an added advantage.
