Shipping Line Officer - Hyexpert Africa
Hyexpert Africa is seeking a dedicated Shipping Line Officer to join their Operations Department in Dar es Salaam, Tanzania. The role is Full-Time and reports to the Head of Operations. Reference Number: HR02.
Job Purpose
To coordinate and manage all shipping line-related activities including vessel bookings, bill of lading processing, container release, and liaison with shipping lines and port authorities to ensure smooth cargo movement in compliance with Tanzania maritime regulations and company procedures.
Key Duties and Responsibilities
Shipping Documentation & Processing
- Process and verify Bills of Lading (BL), Delivery Orders (DO), and Shipping Instructions.
- Coordinate amendment of shipping documents when required.
- Ensure timely submission of shipping documents to relevant authorities.
- Confirm cargo manifest details and ensure accuracy.
Shipping Line Coordination
- Liaise with shipping lines operating in Tanzania including but not limited to: Maersk, MSC Mediterranean Shipping Company, CMA CGM.
- Follow up on vessel schedules, container availability, and release status.
- Coordinate container deposits, free days, demurrage, and detention matters.
Port & Terminal Coordination
- Work closely with port authorities including the Tanzania Ports Authority (TPA).
- Track container movement and confirm cargo discharge.
- Coordinate release orders and gate passes.
Client Communication
- Provide shipment updates to clients regarding vessel ETA, container release, and documentation requirements.
- Advise clients on shipping line charges, storage fees, and related costs.
- Resolve shipment-related issues in a timely and professional manner.
Billing & Financial Coordination
- Verify shipping line invoices and related charges.
- Coordinate payment processing for Delivery Orders and container deposits.
- Maintain proper records of payments and receipts.
Record Keeping & Reporting
- Maintain accurate electronic and physical shipping files.
- Prepare daily shipment tracking reports.
- Keep updated vessel schedules and cargo status records.
Compliance & Risk Management
- Ensure compliance with maritime regulations and Tanzania port procedures.
- Monitor free days to avoid unnecessary demurrage and detention penalties.
- Maintain confidentiality of shipping and client documentation.
Labor Law Compliance (Tanzania)
The Shipping Line Officer shall perform duties in accordance with the Employment and Labor Relations Act of Tanzania, including:
- Observing official working hours and approved overtime policies.
- Maintaining professional conduct and ethical standards.
- Following workplace safety and operational procedures.
- Protecting company and client confidential information.
Qualifications and Requirements
- Diploma or Bachelor’s Degree in Logistics, Shipping & Port Management, Clearing & Forwarding, or related field.
- At least 2 years’ experience in shipping line coordination or clearing & forwarding.
- Good understanding of:
- Bills of Lading procedures
- Container release process
- Demurrage & detention calculation
- Familiarity with port and shipping documentation systems used in Tanzania.
- Strong communication and coordination skills.
- Ability to work under pressure and meet tight shipping deadlines.
